Introduction to Unistaff HR Software

Unistaff system training has a duration of 2 days and aims to meet the following objectives:

  • set up a personnel record system including the adaptation of standardised files to meet your needs
  • inserting and maintaining data
  • add additional screens
  • run reports and enquiries
  • generate reports
  • exploring additional utilities and tools available

The course is broken down into the following areas:

Day 1 (09.30 – 16.30)

System Basics - common features and functionality of many Unistaff screens.

System Preparation – this will provide candidates with an overview of how to prepare the system for day-to-day HR operational use. This includes a look at setting up companies, locations, departments, cost centres, posts, grades, holiday schemes, absence management techniques, and more.

Employee Data – this is broken down into two sections. Firstly employee records, i.e. basic details, skills, next of kin, bank details, etc. And secondly the operational data for employees, i.e. absences, accidents, appraisals, disciplinary records, competencies and objectives, risk assessments, etc.

Day 2 (09.30 – 16.00)

Day 2 starts with a review of the topics covered on Day 1

Employee History – this continues looking at employee information and focuses on how users can maintain an employee’s career history, medical history including recording any medical conditions, education history, flexible working requests, and references.


1. the Event Diary utility enables users to manage key dates in the database.They are then able to flag reminders for each date to come on email or calendars.
2. the Global Updates utility enables users to make changes to specific data across all their employees although they do have the ability to filter the update to apply to only a specific set of employees, e.g. at a certain location or in a certain department.
3. the Ad Hoc Enquirer enables users to produce and run a quick query on their HR data with the results being exported automatically to Excel.
4. Workflow enables users to set up a series of tasks with individual tasks being assigned to one or more employees.

User screens – where the system does not enable users to input data they wishto hold in the database, they can create their own screens for this purpose. Using a screen wizard, users will learn how to build their own screens within theCarval system.

User reports – though the system will come with dozens of ready-to-run reports, they may not satisfy all requirements. Using a report wizard, users will learn how to build basic reports using their HR data.

Standard Reports, Charts, and Graphs – the 2 day course finishes with a look at some of the standard reports and graphs that come with the system.

Time permitting, this will be followed by some thoughts regarding the implementation of the system and the next steps to take on returning from this training course.After each session candidates will be given a practical exercise to complete togain some hands-on experience of the topic just covered.

Candidates will also receive a Unistaff workbook which can be used as a reference when they return to their place of work and start to use the ‘live’ system.
