Carval Computing has announced that The Tool Connection has selected Carval’s HR Unity to support staff working across its head office, manufacturing and warehouse locations. The company is using Carval’s integrated Time and Attendance, employee Self-Service, Payroll and HR software for managers and staff to log, request and manage holidays and absence. Since implementing the new systems in Spring 2016, the HR team claims more efficient capturing of staff working hours, with more accurate employee data going through to Payroll, and positive feedback from staff using the employee Self-Service feature.
Carval Computing has announced that Cottage Delight, provider of speciality foods to independent food retailers, has selected Carval’s HR Unity Payroll solution, Uniwage and Time and Attendance software, Unitend, to manage working hours and Payroll for over 200 staff. Cottage Delight provides over 700 speciality foods, either made by the company or sourced from artisan producers across the UK and Europe, to garden centres, farm shops, delicatessens, traditional grocers, selected department stores, as well as fine food festivals and markets. Since implementing Carval’s solution, Cottage Delight has seen significant time savings in Payroll, with the time taken to administer the weekly and monthly payroll reduced from five days to just 10 hours a month.
From 15 November 2016 HMRC will be able to accept Real Time Information data for employees with National Insurance numbers with the prefix 'KC'. A small number of Uniwage payroll software users have been impacted by this issue when submitting Real Time Information (RTI) data. Carval can confirm that an updated Government Parameters XML file is now available for automatic download from Uniwage | Government Parameters. From April 2017, the validation rules on NINOs are changing and v5.9 of Carval's Uniwage payroll software has already been equipped to handle them.
Carval Computing is attending the CIPD Annual Conference and Exhibition on 9-10 November, at Manchester Central, showcasing the latest version of HR Unity, which includes HR, Payroll, Time and Attendance and Self-Service software. An important year for Carval, 2016 marks its thirtieth anniversary of providing HR and Payroll software to customers across many industries, including retail, housing and education. The event marked the company’s 30th birthday and Technical Director Jason Sweby discussed his pride that his family’s business had come so far in his welcome address.

New on the Carval blog: Major employment law changes to be aware of so far in 2016
Carval Computing is to provide HR Unity, its fully integrated suite of HR, Payroll, Time and Attendance and Self-Service software, to Staffordshire Housing Group. An existing user of Unistaff, Carval’s HR software, the Housing Group is extending its investment with Carval significantly. Staffordshire Housing is replacing its current payroll system with Carval’s Uniwage, and plans to roll out Self-Service via a Mobile App to its 300 staff, across eight sites. In addition, the new integrated solution will enable easier management of the Group’s range of flexible working options for staff and auto enrolment. Helen Martin, People Manager (Projects) at Staffordshire Housing Group commented; “We have a complex payroll requirement, with many different types of employment contracts to manage, including staff with dual roles. Some of our staff work flexitime, with others on different types of flexible working, and we also have an extensive range of shift patterns. The Carval solution is one of the few that can easily manage this level of complexity within one complete, fully integrated package.”
In July HMRC announced that a small number of their customers were experiencing problems when submitting Real Time Information (RTI) data for employees with National Insurance numbers with prefix 'KC'. From 15 November 2016 HMRC will be able to accept Real Time Information data with this National Insurance number prefix. Carval can confirm that an updated Government Parameters XML file to support the KC prefix will be available to import at this time. Until then you should continue to follow existing guidance when submitting your Real Time Information.
Britain’s leading free-from bakery brand,Genius Foods Ltd has selected Carval's HR Unity solution to manage HR and Payroll functions for 550 employees across the company’s four locations. HR Unity has reduced time spent on administration by automating manual tasks; improved the quality and accuracy of data; increased efficiency in processing payroll enabling the company to extend the deadline window by a week; and improved business visibility providing management with an accurate view of costs versus productivity.

Carval Computing has announced that Bostik UK Ltd has invested in its HR software to manage administration for 415 staff across its three sites in Stafford, Leicester and Dalton. Bostik UK Ltd is using HR Unity to manage all employee data, including benefits, training and holiday entitlement for all of its staff, with plans to integrate absence management. The adhesive specialist company is currently rolling out Carval’s HR Unity online employee self-service feature, helping to meet its environmental targets to reduce paper use and benefitting employees by providing them with full control of their personal data. Since first implementing Carval’s software, Bostik UK Ltd has seen efficiency benefits from time saved in HR reporting and management, and expects a return on investment within three years. Bostik UK Ltd selected HR Unity for its single, central HR database and comprehensive yet easy to use reporting functionality, which its previous system was unable to match. Following the implementation of the employee self-service feature, the company plans to deploy Carval’s integrated Time and Attendance solution.

The Department for Work and Pensions has released a small number of National Insurance Numbers with a KC prefix (e.g. KC123456B). Whilst these codes are valid, HRMC was not expecting them to be used and therefore neither the HMRC RTI system nor Carval Uniwage can currently validate them correctly. HMRC is working hard to resolve the issue at their end and as soon as a resolution is provided Carval will provide an update to allow the entry of KC prefixed National Insurance Numbers. Read on for the recommended work around.
Tom Negal has recently joined Carval as a software consultant where he will be specialising in our Unitend Time and Attendance module. Tom originally joined Carval back in March 2010 as a Junior Support Desk Operative and over his four years with Carval developed a really good background knowledge of all our products and also completed his CIPP National Payroll Certificates qualification. He then opted to further his career by moving into a School Services company as a Payroll Officer, later being promoted to a Payroll Implementation Officer implementing School Payrolls from start to finish. "I really enjoy working with customers and will always do my best to help them to my best ability. I am extremely happy to be coming back into Carval as a Time and Attendance Software Consultant and supporting all the existing and new customers. I'm looking forward to my future within Carval Computing."

The new developments in HR Unity v5.8 include time-saving features that benefit both the HR team and business managers, such as multi-tier authorisations within the Self-Service module, which give greater control of the approval chain. New features in the Schools module, which is an increasingly important market for Carval, enable the configuration of pension returns, management of single central record outputs and workforce census details. Automatic-enrolment of employees into pension schemes under workplace pensions reforms started back in October 2012. Initially the legislation only applied to the very largest firms, but was gradually rolled out to medium and then small businesses. Many of Carval's clients had staging dates in 2013 and will now therefore be reaching the third anniversary of this process. This is a key time for them, as any employees that initially "opted out" of enrolment will now need to be reassessed.

Just by way of a final reminder the deadline for returning forms P11D and P11D(b) is the 6th July, so employers will need to submit these now if they haven't already done so. Where employers fail to submit their P11D and P11D(b) returns employees may have incorrect tax codes (and tax bills) and any delays beyond the 19th July might result in a penalty being charged. Carval's Uniwage payroll software includes an Expenses and Benefits module to make this process simpler. Please contact our support or account management team if you need any help.

Carval Computing will be showing the latest enhancements to its HR Unity solution at this year’s CIPD HR Software Show, on 17-18th June, Olympia, London, Stand H320. The new features include a new e-Recruit module, enabling companies to manage the entire recruitment process online from within the HR software, and a significant new Timesheets upgrade.
The forms P11D, and where appropriate P9D, which report details of expenses and benefits provided to employees and directors for the year ended 5 April 2015, are due for submission to HMRC by 6 July 2015. The process of gathering the necessary information can take some time, so it is important that it is not left to the last minute to avoid late-filing penalties. Carval's Expenses and Benefits module enables you to record all the necessary information and print P11D forms and P9D forms for each employee.
Carval have today launched an exciting new addition to the HR Unity range: e-Recruit. Available to users of Unistaff, the new e-Recruitment module enables the HR department to create a vacancy post and post it online from within their HR software. The system also allows the creation of questions for applicants and designing how the web page looks. Employee data from successful applicants is retained and used within the company HR system, removing the need for re-keying of personnel details. The e-Recruit module has been developed as a result of customer demand and will be available from 1st June, rolling out to customers over the summer.

National Insurance for U21s. As of April, employees U21 will have a new NI category so that employers do not have to pay National Insurance for them. The Uniwage Year End will automatically move any employees U21 on to the appropriate NI category so that the employer doesn’t have to do anything. Uniwage will also notify employers when the employee reaches 21 and will change the NI category back for them.

Carval Computing, a specialist supplier of fully integrated Human Resources, Payroll and Time & Attendance software has clocked up another successful year following its record growth in 2013. The company has announced another 31 new customers signed up in the last twelve months, with the Payroll Bureau growing by 46%. 2013’s staff increase of 35% has been followed with new HR development, including a restructuring of the Support Desk resulting in dramatically improved customer service. Carval has also achieved BACS accreditation for its bureau service, allowing the company to process BACS payments on behalf of third parties.

HMRC has asked Carval to tell our payroll software users about a new tax break for married couples. Uniwage v5.4 already supports the two new tax code suffixes so our payroll system users are all ready for this change.
HMRC have announced that employers will not incur penalties for delays of up to three days in filing PAYE information. Late payment penalties will continue to be reviewed on a risk-assessed basis rather than be issued automatically. There is no change to the filing deadlines. This means filing on or before each payment date unless the circumstances set out in the sending an FPS after payday guidance apply.
The Yorkshire Dales National Park has recently extended its use of HR Unity to include the Time and Attendance (T&A) and HR modules. The Yorkshire Dales Park Authority has been using Carval’s Payroll Software since 2012, and is now using the system for HR administration for around 130 permanent staff, plus its governing committee of 22 Members and seasonal employees. The Carval T&A solution replaces a standalone system, which did not collect the required data or link to payroll. Now staff hours are fed directly to payroll, streamlining operations and improving accuracy.

HMRC is introducing a new Generic Notification to remind employers that the temporary SCON will not be available for use from April 2015. If by the 15th December 2014 any employer is still not using the correct SCON they will receive a GNS message as a further reminder that they must take action to start and record the correct SCON. They will also receive the GNS message each time they make a subsequent submission using the temporary SCON. If Carval Uniwage payroll software users receive the new notification and are satisfied that the temporary SCON was not used on their last submission they should notify HMRC at email@example.com
HR Unity v5.3 now shipping, provides totally new Self-Service solution, dashboards and many other productivity improvements. Carval Computing, a specialist supplier of fully integrated Time & Attendance (T&A), Human Resources and Payroll software has today announced that its HR Unity app is now available for download directly from the Apple iTunes App Store and from the Google Play Store. The new app, which runs with HR Unity version 5.3, available from 14 December, complements HR Unity desktop and web payroll, HR and T&A software solutions. The app has features and functions for both staff and managers and is designed for iPhone, iPad and iPod Touch. It requires iOS 6 or later and is optimised for iPhone 5. The Android version works on all devices running Android v2.3 and onwards.

Parents will gain greater flexibility in how they share the care of their child in the first year after birth as new regulations regarding Shared Parental Leave (SPL) come into force today (1 December 2014). The new rules, which apply to couples with babies due or children matched or placed for adoption on or after 5 April 2015, will allow parents to choose whether they want to share the mother’s maternity leave. More than five million British workers face uncertainty after leaked emails revealed that their tax bills for last year may have been wrongly calculated. HM Revenue and Customs has privately admitted that those who underpaid or overpaid income tax last year may still have paid the wrong amount. Most have already been sent new tax demands or sent repayments – but now face the prospect of having their bills recalculated once again. HMRC has stopped sending repayments until the crisis is resolved. HMRC said tens of thousands would ultimately be affected but admitted it currently had no idea about the scale of problem.
HM Revenue & Customs will be able to collect up to £17,000 a year of tax debts directly from high earners’ pay packets, under new powers. The change, expected to raise £115m in the 2015-16 tax year, has aroused less controversy than plans to deduct the money from bank accounts because it spreads payments over the year and does not affect those earning less than £30,000, who will still be subject to the £3,000 limit. HMRC has introduced a sliding scale so only those earning more than £90,000 would face a £17,000 deduction. It has also guaranteed that it would not take more than half the salary of those affected.

PAYE schemes that haven't submitted an EPS in 14/15 will soon receive a HMRC GNS message regarding claiming the Employment Allowance.
HMRC is phasing in the implementation of penalties for the late filing of PAYE, and, as part of this, has started to issue electronic generic notification service (GNS) messages to all employers, to confirm when the new in-year penalties will apply to them. Initially messages are being sent to employers who have schemes of 50 or more employees. If you use Carval Uniwage payroll software and are to receive one of these notifications, it will appear in your "DPS" software.

On Friday 22 August HMRC started to send letters to employers who are disputing a PAYE charge. HMRC has been undertaking a review to identify the root causes thoroughly and improve their systems wherever possible. This review has shown that, while there are a number of different reasons for disputed charges, the main cause is duplicate employments. HMRC has taken a number of steps to improve their processes and systems and issued update advice to employers.
A batch of Real Time Information (RTI) 201 letters containing incorrect information about over payments has been sent to employers and agents in error. HMRC has advised that any employer or agent receiving one of these letters in August should ignore it. Those wishing to check their tax position can do so on the Business Tax Dashboard. HMRC apologised for any inconvenience caused.

HMRC has asked Carval to share updated RTI guidance for the late notification of leavers with our UK payroll software users. It is now acceptable to show the payment date as either the current FPS payment date or the last date the employee was paid. If using the date the employee was last paid, include a late reporting reason 'H' - correction to an earlier submission.

From 6 April 2014, HM Revenue & Customs (HMRC) will use PAYE income information reported in real time to calculate tax credits awards.
Tax credits claimants’ Renewals Notices will show the total gross pay for the year, and may therefore include income from more than one source. The Notice will explain that this has come from details their employer has sent to HMRC. The Renewals Notices will not show hours worked. This post includes infomration to employers on what to do if your employees appraoch you for information.
The final date for sending Full Payment Submissions for 2013 to 2014 has now passed. Employers who still need to send PAYE information for 2013 to 2014 that they would normally have reported on a Full Payment Submission (FPS) must now report this by using an Earlier Year Update (EYU). To avoid a late filing penalty for 2013 to 2014, employers should ensure that they have reported all their 2013 to 2014 PAYE information to HMRC by 19 May 2014.

The information you enter on your payroll feeds into the real time submissions you send to HMRC and then directly into HMRC's IT systems. There may be occasions when employers can't reconcile a charge shown on HM Revenue & Customs (HMRC) records to theirs. Here are a few steps employers can take to eliminate some of the most common errors and resolve the issue without having to contact HMRC.
On 19 February HMRC began to correct an issue in their system which, where an employee has had two or more employments with the same employer, had resulted in some employments being merged in error. Prior to their corrective action some accounts on HMRC’s Business Tax Dashboard will have been incorrect. They are currently updating affected employer records and the Business Tax Dashboard will show corrected figures shortly:
Having listened to stakeholders and employers involved in the RTI pilot HMRC have adapted their systems so that employers can send their 2014-15 submissions from 6 March.

HMRC has decided to stagger the start of new, automated, in-year late payment and filing penalties, to give HMRC and employers more time to adapt to reporting in real time
HMRC has published guidance for businesses and charities on how to claim the Employment Allowance, which will reduce their employers Class 1 NICs by up to £2,000 every tax year.

Carval Computing has been selected by the Newcastle Theatre Royal Trust to provide Payroll and HR software. HMRC has provided updated guides to provide employers with advance notice of new data items for 2014-15, and any resulting changes to the PAYE reporting process, as well as some basic information on the new online appeals facility from April 2014.
Here we highlight some of the changes coming to payroll and RTI from April, some of which may necessitate changes to your current payroll procedures. All of these are, of course, fully covered by v5.1.0 of Carval's Uniwage payroll software.
HMRC is chasing employers as soon as an incorrect RTI submission is made, even though the guidance for correcting an error is to do it in the next Full Payment Submission (FPS). The contradiction is leading to a number of employers being contacted unexpectedly by HMRC’s Debt Management & Banking (DMB) team.

On Thursday 17 October close to 100 users of Carval’s HR Unity software gathered at the Jury’s Inn Hotel in Milton Keynes for the company’s National User Group Meeting. The event marked the official release of HR Unity v5.0 and users got to explore the raft of new features available to them across the Human Resources, Payroll, Time and Attendance and Employee Self-Service modules.
From 28 October, HMRC will begin sending letters telling an employer that they are going to cancel their PAYE scheme if it was opened after 5 April 2013 but has been inactive for 120 days. The process will not cancel any schemes registered as annual schemes.
From 21 October, HMRC will start to send three types of generic electronic messages to warn the employer if their PAYE submissions or payments appear to have fallen into arrears.
From 20:00hrs on Friday 18 October 2013 to 07:00hrs on Monday 21 October 2013, most of HMRC's public facing IT systems are being upgraded and will undergo planned maintenance.
HMRC have been looking into the reasons why there may be differences in the tax they say is due, to that employers think is due. The findings of this analysis, undertaken over the summer, has now been published in a report "Reconciling 2013 PAYE Charges".
HM Revenue & Customs (HMRC) is developing a new online service for small and medium businesses. The new service will bring together in one place everything businesses need to manage their tax affairs. From a personalised homepage they will be able to view key information and access online services to manage their business tax affairs, for example: file tax returns, check and make payments, view important dates for future action.
HMRC is looking for volunteers to take part in a live trial of an early version of this new online service later this autumn. Volunteers will be able to access the service from any internet-enabled PC they are currently using and no special equipment or expert IT knowledge will be needed, just basic internet skills.

HMRC has asked Carval Computing Limited to alert clients to the importance of including all employments on their alignment submission. This is because any failure to do so will mean that HMRC will automatically treat any omitted employments as having ceased.
