Detailed employee records

Unistaff HR Software holds comprehensive information on each and every employee, their personal details, their contractual details and every aspect of their history with your company, all of which can be reported on with ease.

Adding new employees is simple

Creating an employee record is incredibly simple with Carval’s New Employee Wizard or by transferring a candidate straight through from our built-in Recruitment Module. Unistaff also caters for employees with multiple posts with split costing and aggregation of NI. 

Personal details

Each employee is identified with a unique Personnel Number and users can record name, address and contact details, DOB, marital status, previous name, NI number and driving license details.

Picture and document links

You can add links to any number of documents concerning an employee, such as Contracts of Employment, Job Description, Offer Letters, Disciplinary/Grievance documents etc.  This means they are instantly available at the click of a button from within the personnel record. Picture links are used to attach images related to the individual to their personnel record.  An obvious one is a picture of the employee that aids the personnel department in visual recognition of the employee.  However other images such as signatures, appraisal documents etc. can be linked.

Next of kin

Maintain next of kin details, dependents and other general contact information. 

Bank details

Maintain an employee’s bank details including Building Society Reference, Autopay Reference and IBAN for when making payments outside the UK. Carval’s HR Software include multi-currency capabilities.

Equal opportunity monitoring

With a growing emphasis being placed on being an Equal Opportunities employer and the possibility of severe penalties if proved non-compliant, Unistaff HR Software records comprehensive Equal Opportunities data and provides the tools for in-depth within the companies held on the system.

Medical details

The Medical screen allows users to monitor and maintain the general medical information against an employee, including any current medical conditions and tools to ensure any regular health checks or vaccinations required take place.

Vehicle details

Unistaff can record private personal car details that are not a benefit to the employee and will not be fed through to P11ds. A comprehensive Expenses and Benefits module is also included with fleet management capability.

Skills

The Skills function in Unistaff HR Software allows the user to set up a list of criteria by which performance is going to be measured within the company.  It is not intended to be used solely to record whether a person possesses a skill in a certain area, but also to attach a grading to the skill.  As well as recording an employee’s competencies, it can also be used to assess skill levels in certain areas which help to identify any training needs in Carval’s Training Needs Analysis report.

Qualifications and languages

Unistaff enables you to record the qualifications and languages of your employees and the level that they have reached. Professional or Vocational qualifications are well catered for, with Unistaff allowing you to set up the units required to achieve a particular Accreditation and then monitor the progress of an employee through them.

Key dates

Important dates on the employee’s record, though entered in different parts of the system, can be found together on the Key Dates screen. None of these dates are compulsory, but some are populated by Unistaff HR Software automatically after certain events.  All of these dates can be used by the Event Diary Manager, which is Carval’s tool to automate processes and drive workflow.

Contractual details

Maintain comprehensive contractual details for the employee.

Absence

Absence Management is standard across the Carval HR Unity range, including Unistaff HR Software, with a host of tools to help you manage and control every type of absence.  Users can view and amend the holiday and absence details for employees. Holiday is shown in days or hours & minutes depending on the holiday scheme. A summary of the employee’s sickness record is shown. It will show the number of days sick in the current year, holiday year or rolling year, along with a percentage of the total working days in that period. Also shown are the sickness figures since the employee started with the company, again split into actual sick days and a percentage of the total days worked since the employee joined.

Pensions

Record and monitor when an employee is eligible to join a company pension scheme and the date they joined (and left) the scheme. An employee can be a member of up to two different schemes.

Working patterns

You can assign an employee to a Rota and Shift Pattern. You can also monitor whether or not the employee requires a work permit or is a night worker.
